SMRT Operations Manager Mobile is designed to provide a great experience, consistent with our privacy and security principles, when used on company owned or personal mobile devices. This guide helps answer common questions regarding the privacy of personal information, data plan and device storage usage, and security of work-related information when using a personal mobile device.

Privacy
Can I limit access to resources and information on my device?
Yes. SMRT Operations Manager Mobile leverages many of the resources (camera, photo library, GPS, Wi-Fi, etc.) of your device to deliver app features, but access to each resource must be specifically granted by you. You can decline access to a resource when initially requested or remove access at any time through the Settings on both iOS and Android based devices.

Does SMRT Operations Manager Mobile track my location when running in the background?
No. SMRT Operations Manager Mobile does not track your location when the app is running in the background. SMRT Operations Manager Mobile only uses location information (GPS, Wi-Fi, compass, barometer and cell triangulation) to help identify place association during task creation, to sort the sites dashboard, to show a user’s current location in relation to assignments on the map view, and for automatic site switching (iOS only).

Data Plan Usage
Can I turn off cellular data and still use SMRT Operations Manager Mobile?
Yes. SMRT Operations Manager Mobile is capable of using both cellular and Wi-Fi data connections and can also function entirely offline when you’re disconnected. If you prefer, you can disable the usage of cellular data entirely within the Settings section of your respected device. In this scenario, SMRT Operations Manager Mobile will work offline while out-of-range of a Wi-Fi connection and will sync your offline work as soon as you reconnect.
For Android devices, navigate to the Data Usage section within your Settings.
For iOS devices, navigate Cellular > Cellular Data within your Settings.
Of course, to receive real-time updates and notifications while in the field you will need to have an active connection through cellular or Wi-Fi. In offline mode these notifications will be held and delivered to you when you reconnect.
When using SMRT Operations Manager Mobile without cellular data (off-line mode), how does the experience change?
Many of the features of SMRT Operations Manager Mobile are available while entirely disconnect from cellular or Wi-Fi, but for privacy, security and performance purposes we do require an active connection for the use of specific features. The information collected on your device while working offline will not sync with your community’s SMRT Operations Manager experience until your device reconnects while the app is running. Once reconnected, your work (new tasks created / closed, comments added to tasks, etc.) will be viewable by other SMRT Operations Manager Web and Mobile users.
The following features will not be fully available to users while off-line:
Task Activity Feed (Task History)
Push Notifications (real-time updates including task changes, comments, etc.).
Access control information such as alarm codes.
Privacy calling to residents (Your personal number masked as the office number).
Task Images (If you have not already viewed the image previously).
Profile updates (Do Not Disturb Settings, User Information, Time Zones, etc.).

Device Storage
How does SMRT Operations Manager Mobile affect the storage on my device?
To moderate storage usage, SMRT Operations Manager Mobile takes the following precautions:
Temporary storage is limited to 10% of your device capacity or 1GB of memory, whichever value is lower.
45 days after a task or project is closed, the task is removed from device storage (unless the task is reopened). This serves to keep only relevant tasks synced to your device, improving overall performance and user-experience. The expiration timing (45 days) for tasks/projects can be adjusted to fit organization and site policies.
Offline storage can be managed on a ‘per-site’ basis. Users can choose to take individual sites offline, if desired.

Security
What steps are taken to ensure the security of information shared with SMRT Operations Manager?
Control of resident data on device:
SMRT does not store access control information on device and requires that a user’s credentials be re-verified (automatically in the background) each time this information is viewed.
We limit resident personally identifiable information (PII) stored on device to only the First/Last names, unit association, and preferred callback number.
A password reset can be initiated off-device and a device can be logged out remotely and automatically through our Single Sign-On integration (through integration with a company’s enterprise environment).
Data encryption:
Communication between SMRT Operations Manager Mobile installed on a user’s phone and the SMRT Cloud occurs over cellular carriers and potentially open Wi-Fi connections. For this reason, SMRT uses industry standard SSL/TLS to encrypt all data passed between the SMRT Operations Manager Mobile and the SMRT Cloud.
For added security, all data is encrypted even when sent between computer servers in the SMRT Cloud.
Support for Device Security:
The SMRT Operations Manager Mobile app may only be installed on Android or iOS devices. Both of these platforms support what is known as “Application Sandboxing” to prevent applications other than SMRT Operations Manager Mobile from accessing stored data.
The SMRT Operations Manager Mobile App also leverages whole-disk encryption on both iOS and Android 6.0 or higher.
Additionally, on iOS, SMRT Operations Manager Mobile utilizes a feature that ensures that the local data remains encrypted until the user unlocks their phone.
