Asset Serial Number Photo Upload and Asset Details View
This Help Article will guide users on how to upload and designate serial number photos, as well as how to view enriched asset details within the Work Management web platform. These features improve data accuracy and make it easier to understand asset health, risk, and recall information.
These features are feature-flagged and may not be available in all environments by default. If you do not currently see these options in your account, please reach out to the Help Team to enable the feature or to set up a call with your Account Manager.
What is Serial Number Photo Upload?
Serial Number Photo Upload allows users to add a photo of an asset's serial number during the asset creation process. The system extracts the serial number from the image and auto-fills the Serial Number field. The data is then sent to a third-party partner to enrich asset details such as make, model, and warranty.
This reduces manual entry and improves data consistency, especially for field teams working with large inventories.
How to Upload a Serial Number Photo
On Web:
Navigate to the Assets tab in Work Management.
Click the Add Asset button in the top-right corner.
Select the Type of Asset and Place first.
In the Serial Number section, upload a photo of the asset’s serial number.
The system will automatically extract and display the serial number in the textbox.
This field becomes non-editable after upload.
A preview of the photo is shown, along with a success message.
Users can delete the photo to make the Serial Number field editable again for manual input.
Note: Only one serial photo can be uploaded per asset.
On Mobile(IOS & Android) :
Navigate to the Assets section.
Tap the Add button.
Options include:
Scan QR
Take a Photo
Enter Asset ID
Select the Asset Type and Place to enable the photo upload field.
Upload a photo of the serial number:
The serial number will be extracted and auto-filled.
A preview and success message will appear.
Delete the photo to unlock manual input if needed.
Complete additional fields like Make, Model, Name, Tags.
Tap Create Asset to save.
What is a Serial Number Photo?
A Serial Number Photo is a designated photo that clearly displays the asset's serial number. Users can manually set or unset this designation when managing asset photos.
How to Set a Serial Number Photo
On Web:
After adding or editing an asset, go to the Photos section.
Hover over a photo to see the barcode and delete icons.
Click the barcode icon to set the photo as the Serial Number photo.
A confirmation message will appear. Confirm to save changes.
If needed:
Click the barcode icon again to convert it back to a regular photo.
Click the delete icon to remove the photo entirely.
Viewing Asset Details
Clicking an asset from the asset list opens a new side pane view. This provides detailed asset information across the following tabs:
Detail
Specification
Risk
Warranty
Activity
The Detail section includes:
Asset Photo and Serial Number Photo
Type, Make, Model, Serial Number
Site, Place, Tags, Replacement Status
The Risk section includes:
Risk Severity (Very Low to Critical)
Associated Risk Message with a Learn More link
Recall Information (if available)
Recall Number, Hazard, Link, and Reason
If no recall is found, a “No Recall to Display” message appears
Frequently Asked Questions
Do I have to upload a serial number photo to create an asset?
No, you may also enter the serial number manually if a photo is not available.
Can I switch between manual entry and photo upload?
Yes. If you delete the photo after upload, the serial number field becomes editable again.
What happens if the system cannot extract a serial number?
You may manually enter the serial number. The photo will still be stored in the asset record.
Is this feature available on mobile?
Yes, this functionality is available on both mobile and web.
