Managing Assets

This Help Article will guide users on how to properly manage an asset after creation.

SMRT allows you to store assets within our application. This Help Article will guide users on how to properly manage an asset after creation.

Assets are available for all Work Pro users and can be enabled by reaching

out to the Help Team. If you do not currently have the Work Pro subscription, please feel free to chat with the Help Team, and we can work to set up a call with your Account Manager.

Manage an Asset from the Detail Panel

As with tasks, we also allow for the ability to manage your asset from the detail panel. In addition to the pencil icon, you can click on the three-dot menu, to reveal some quick actions for you to take on your asset.


When managing assets, you have the following options:

  • Add Task for Asset

    • This allows you to create a task tied directly to the asset giving the maintenance technician easy access to the asset's details as well as previous activity.

  • Add Sub-Asset

    • In addition to tracking the main asset, add sub-assets for tracking the condition of necessary components. (e.g. add a blower motor for an air handler unit)

  • Edit Tags

    • Create, manage and add tags to your assets to easily sort and filter your assets in the asset list.

  • Duplicate Asset

    • This creates a near copy of your existing asset saving time. It copies everything except the serial number, photos, or anything else that is unique to individual assets.

  • Edit Condition

    • This allows you to set the condition of the asset when adding it.

  • Replace Asset

    • This allows you to replace an asset or sub-asset with a different asset or sub-asset, either new or existing on-site.

  • Edit Asset

    • This allows you to edit all details of the asset, whether you are looking to correct or update a field.

  • Remove Asset

    • Use this to remove an asset that is no longer in service, has been removed, or has been created by accident.

  • Bulk Upload Assets

    • Reach out to the Help Team for a template to fill out and submit back to help@sightplan.com. We can import all the assets for your location at once.

  • Asset Activity Timeline

    • Users can view the history of an asset, including details on creation, edits, and removal.

  • Task Activity Timeline - Now when an asset is linked to a task, the asset ID will appear as a hyperlink in the Task Activity Timeline, enabling the user to navigate to the Asset Detail for more information about the asset.


Add Task for Asset

Right-Click to Add Task for Asset

When viewing your list of assets, hover over the asset and right-click to view your options, and select Add Task for Asset.


Once you have clicked on Add Task for Asset, you will see the create task details window open on the right side of your screen. Complete the details and click on the Create Task button.

Once the task has been created, you will see the open task show within the task list with all the other tasks.


That's it! You have a task linked directly to your property's asset.


Editing Your Asset

Right-Click to Edit an Asset

When viewing your assets, hover over the asset and right-click to view your options, and select Edit Asset.


Once you have clicked on Edit Asset, you will see the Edit Panel slide out to the right.


From the Edit Panel, you will have the options to edit all Asset Tabs (Details, Specification, and Warranty), and update the details in line. You can also move through all taps using the blue button at the bottom of the edit panel.

Once you have made all of your changes, go ahead and click through the tabs to make your updates and then click “Save Assets” to save those updates.

Once you have saved the asset, all updates will be visible on the asset once you click into the detail panel.

In-Line Editing of the Asset

In addition to right-clicking to edit an Asset, you can edit fields directly from the detail panel. Once you are viewing the detail panel, you can simply hover over the field to reveal the pencil icon. Click the icon to then edit that field.


Duplicate an Asset

Duplicating an asset will replicate a near copy of an asset or sub-asset. It will copy over everything except for the items that should be unique to an individual asset such as a serial number, photos, etc.

To duplicate an asset, you can simply hover over an asset in the list and right-click on an asset, and click on the “Duplicate Asset”. You can also duplicate an asset by clicking on the ellipsis within the asset details panel.

When viewing your assets, hover over the asset and right-click to view your options, and select Duplicate Asset.

Once you have clicked on Duplicate Asset, select the location where the new duplicated asset will be.

Once you have selected a place, click “Duplicate Asset” to finish duplicating.


Replacing an Asset

When viewing your assets, hover over the asset and right-click to view your options, and select Replace Asset.

Once you have clicked on Replace Asset, select if the replacement asset is a brand-new asset or an existing asset. Use the search bar to find an existing asset or fill out the fields to create a new asset.


Once you have the replacing asset, select where the original asset will go either off-site or moved to a different location. You can also edit the status of the original asset.

After all fields are filled, click “Replace Asset” to finish Replacing.


Removing an Asset

To remove an asset, you can simply hover and right-click on an asset, and click on the “Remove Asset”.


Once you have clicked on “Remove Asset”, you will then be able to classify the status of the asset before removing it.

Once selected, you can select remove asset to remove it from the Asset List.

If you would like to view assets that have been removed, you can easily filter by status in the task list.


Adding Assets in Bulk

We now offer the ability for assets to be added in bulk by providing you with a template to fill out and submit to the support team.

Removing Assets in Bulk

To remove assets in bulk, you will need to select multiple assets in the asset list. You can do this by using the check box to the left of the asset.

Once you have selected your assets, you can use the “Trash” icon in the menu to initiate the bulk removal.

From here, you can select the status of why you would like to remove the assets, and click on the “Remove Asset” button to complete the bulk remove action.


Simple Search - Located in the Top-Left Corner of the Main Window

When viewing your assets, you can click the small search bar to search your asset by typing the name of the asset.


Frequently Asked Questions

  • Can I remove Assets in Bulk?

    • Yes, you can. Select multiple assets in the asset list, and use the bulk remove icon to complete the process. More details are above!

  • Can I add tags in bulk to all my assets?

    • Currently, we do not have the ability to add tags in bulk, but the team is working on making this available in an upcoming release.
