Reviewing how each user permission impacts the SMRT Operations Manager user-experience.

SMRT Operations Manager is a permissions-based solution, which manages feature accessibility through user permissions. When setting up a new user (team member) in SMRT Operations Manager, default permissions are assigned to the user based on their role on the team.  For example, a property manager would have more access than an assistant property manager.   

Note:  Any SMRT Operations Manager User with administrative privileges (generally, the property manager and above) can edit the permissions given to other Users.    

This knowledge base guide defines each user permission in SMRT Operations Manager, and more specifically, how each permission impacts the user experience.   


User permissions and their descriptions

  1. Assign Tasks: Allows the user to assign new tasks to another User. If this is deselected, all tasks created by this user will be "unassigned."

  2. Close Tasks of Others: Allows the user to complete tasks that are assigned to other users.

  3. Create Comments: Allows the user to create resident-facing comments within a task.

  4. Create Tasks: Allows the user to create new tasks. If the user does not have permission to assign tasks, any tasks created by them will be set to "unassigned."

  5. Manage Asset Types: allows the user to access and make changes to the community's asset types, located within the Assets section of Settings.

  6. Manage Escalations: Allows the user to access and make changes to the community's escalation path for urgent requests, located within the Assignments section of Settings.

  7. Manage Packages: Allows the user to view, receive, and release packages to residents.

  8. Manage Repeating Tasks: Allows the user to add, edit, and delete repeating tasks and projects.

  9. Manage Tags: Allows the user to add and remove tags.

  10. Manage Task Status: Allows the user to add status tags (ex: "Waiting on Part, Duplicate") to tasks and projects.

  11. Manage Time Tracking: Allows users to access the 'Time' tab within a task, on which users can track the amount of time spent on the task.

  12. Modify Assets: Allows the user to edit assets.

  13. Modify Tags: Allows the user to add and remove tags.

  14. Reassign Tasks: Allows the user to re-assign existing tasks to other team members. Users with this permission do NOT need the 'Assign Tasks' permission to re-assign tasks.

  15. Send Messages to Residents: Allows the user to create and send messages to residents.

  16. View All Messages: Allows the user to access the Messages Section, to only view all messages that have been sent.

  17. View Reporting: Allows the user to access all site reporting, found in the Reports Sections.

  18. View Tags: Allows the user to view tags.

  19. View Tasks of Others: Allows the user to view tasks that are assigned to other team members.

  20. View Users: Allows users to view the Users List (People > Users) in SMRT Operations Manager. With this permission, users will not be able to add, delete, or edit user information. *Note: 'Manage Users and Sites' permission is needed to perform these actions.

  21. Call Residents: Allows users to call residents through the SMRT Operations Manager Mobile App.

  22. Create Assets: Allows the user to create an asset.

  23. Create Tags: Allows the user to create a new tag.

  24. Manage Announcements: Allows the user to create, edit, and delete custom announcements within the Answering Service Settings.

  25. Manage Categories: Allows users to access the Categories section (Settings > Categories). Within Categories, users will have access to make changes to workplace categories, resources, and more.

  26. Manage On-Call Schedule: Allows the user to update the on-call schedule located in the People Section. Changes made in this section may impact Escalation Settings.

  27. Manage Places: Allows users to access the Places section within SMRT Operations Manager Web. Within Places, users will have permission to modify the places setup (buildings, units, etc.) for the community.

  28. Manage Residents: Allows the user to add, edit, and delete residents in SMRT Operations Manager. Also allows the user to manage access to the Resident App and Portal. Users with this permission will receive emails regarding pending requests from residents requesting to join the Resident App/Portal.

  29. Manage Task Files: Allows users to access and modify the 'Files' tab within a task. Within the Files tab, users can view and manage task attachments.

  30. Manage Templates: Allows the user to add, edit, and delete project templates.

  31. Manage Users and Sites: Allows the user to add, edit, and delete other Users, including the configuration of access permission. It also allows the ability to create new sites and manage all site settings including Resident Service configuration.

  32. Modify Schedule: Allows the user to change due dates for existing tasks, including the ability to make a task urgent.

  33. Prioritize Tasks: Allows the user to modify the priority of tasks.

  34. Reopen Tasks: Allows users to reopen a closed task.

  35. View Access Codes: Allows the user to view Access Control Codes on tasks.

  36. View Assets: Allows the user to view Assets recorded in the community.

  37. View Residents: Allows users to view residents in SightPlan. With this permission, users will not be able to add, delete, or edit resident information. In addition, users will not be able to invite residents to the Resident App. *Note: 'Manage Residents' permission is needed to perform these actions.

  38. View Tasks Assigned to Self: Allows the user to view tasks assigned to them.

  39. View Tasks Reported by Self: Allows the user to view all tasks they have reported, regardless of the assignee.
